From Goodbye to Hello: Innovations in Staff Transitions

Security. Security. Security. Addressing security concerns within Rock is a recurring theme in our work. Our clients often turn to us for guidance on comprehending the nuances of security, its application, and effective management.

Frequently, clients venture into Rock without a clear understanding of security roles and hierarchy, leading to a trial-and-error approach in granting permissions. Then, HR announces that 'Pastor So-and-So,' who was overseeing youth, is transitioning to the children's department. Simultaneously, another team member heads on maternity leave, leaving the challenge of managing their connections during their absence.

Recently, a church approached us, facing similar concerns about effectively managing security, connections, and projects during staff transitions. They discovered that a former staff member continued to receive notifications from connections he had managed. The imminent departure of an admin responsible for hundreds of connections added to their urgency.

The client brought us a valuable resource—a four-year-old Rock recipe shared by Randy Aufrecht, offering a clever dashboard for monitoring securities. This recipe became the catalyst for the robust process we developed to address their challenges.

The response following the implementation of this solution was nothing short of phenomenal. Previously, handling staff transitions in Rock had been an overwhelming task, often burdening the Rock team responsible for various database jobs. However, post-implementation, HR gained the confidence to seamlessly manage staff transitions as part of their onboarding and offboarding processes.

Additionally, ministry teams found themselves well-equipped to collaborate during temporary staff absences due to illness or other factors, ensuring continued operational stability.

Here's How it Works in Detail:

Our dashboard simplifies the process of selecting individuals from the database. With this tool, you can effortlessly access information regarding permissions, leadership roles, and connections. Once you’ve identified the relevant areas, you can reassign connections and adjust permissions as needed.

Consider the example of the admin responsible for hundreds of connections—Without this tool, the process would be manual, resulting in a flood of emails for the new connector, potentially overwhelming their inbox on their first day.

However, with this new process, you can efficiently reassign default connectors or manage connection requests in one action, significantly streamlining the process.

New Worker Dashboard

Another tool we've designed addresses temporary staff transitions, such as when someone goes on vacation but manages essential connections. In such cases, another staff member steps in to assist temporarily without needing to make permanent reassignments.

This new feature will be seamlessly integrated into the person dashboard page. Once added, you'll notice a new tab at the top of your dashboard.

Within the Worker Dashboard, you'll have the capability to look up anyone in the database and view the connections they are currently handling. You can also manage those connections directly from your own dashboard. This feature offers significant reassurance to staff members who may need to step away for various reasons, ensuring continuity and support during their absence.

With these new processes in place, staff transitions will transform from a nearly impossible task into an efficient and confidence-inspiring procedure. Your ministry teams will gain assurance as they observe comprehensive and seamless transitions.
