Phew! You made it through the holiday season, and now it's January. Time to tackle the post-celebration chaos, deep clean the house, set those ambitious New Year's resolutions (even if they only last a few weeks), map out your year, and yes, it's already time to plan for summer camp. That's right, summer is just around the corner, and whether your church has already posted camp registrations or is about to, you understand the importance of providing a user-friendly experience.

Navigating Camp registrations, especially when signing up multiple children, can be time-consuming and overwhelming. It’s like a race against the clock to secure tickets before a concert sells out. This urgency is particularly felt when families are also seeking scholarships; they can't afford to miss out while waiting for approval and access codes. But how can you make the process better?

We've been closely listening to our clients year after year, and a common theme keeps emerging: the scholarship process. The concerns raised aren't limited to just those trying to register for camp; they extend to the administrative tasks involved in managing scholarship requests, making decisions on approvals or denials, and effectively communicating the discount and registration process. Well, here’s the good news – we're about to unveil a streamlined process that we believe will be a game-changer, and we’re confident that you’re going to absolutely love it.

How it works: A Quick Overview

  • Effortless Registration: With discount codes in hand, registering for camp is a breeze. No more last-minute panics or missed opportunities.
  • Reduced Administrative Burden: We've also got your administrative tasks covered. Managing scholarship requests, granting, or denying them, and communicating the process to families has never been smoother.

Here's How it Works in Detail:

A workflow is the driving force behind the scholarship application form, allowing it to be customized to align with your specific scholarship criteria. Each form is designed to correspond with a specific event registration. Here's a simple example of such a form:

This form can be linked on your event page or any other public page. When a user completes the form, it triggers a notification to the person responsible for managing the scholarships. The email notification will include the applicant's name and the reason for their application.

From the email notification, staff members can click on 'View Details' to access an internal form where they can enter either a Discount Amount or a Discount Percentage. They can then approve or deny the request.

Upon approval of the request, the workflow will generate a one-time-use Discount Code and apply it to the registration Discount section of the template. The user will receive an automated email notifying them that they can redeem the discount code once for their registration.

If the request is denied, an email notification will be sent to the user to inform them of the denial.

All of this can be done in minutes. Dispel the paper applications and spreadsheets and get ready for a camp season that’s as stress-free as realistically possible. Get ready for a smoother journey ahead!

1. Registrations can only have 1 payment account.

Here’s How it Works in Detail:

  • A new Registration Attribute block is added on your Event Registration page where you’ll be able to designate the account for the pay-it-forward process.

  • You add a ‘Scholarship Donation’ fee to your registration. All the payments made on that fee go to the designated account.
